Panel Compensation Policy

Reimbursements will be issued by various modes of return after the convention has ended and hours of completed panels has been verified by the Live Programming Head and paid pre-registration has been verified by the Convention Treasurer. Reimbursements will begin 30 days after the end of the convention and be completed no later than 90 days after the end of the convention (please note this is the time frame that reimbursements will be disbursed, you may receive the reimbursement slightly after this time frame).

Once the convention has ended any Lead or Co Panelist wishing to receive a reimbursement must contact the Convention Treasurer by way of a Panel Reimbursement Application. Please note in order to start the reimbursement process panelists must use the Panel Reimbursement Application to submit their request.   Please have the following information available when applying for the reimbursement:

  1. Name Registered under (and if different Name on Panel Application)
  2. Name of Purchaser of badge (if different from Name of Registered)
  3. Order Number
  4. Date of Purchase
  5. Type of Badge (adult, teen etc)
  6. Amount Paid
  7. Percent Refund Due
  8. mailing address
  9. phone number
  10. email address

The Panel Reimbursement Application will open immediately after the convention has ended and will be open until Tuesday, March 17, 2015. All panelists who wish to be considered for a reimbursement must apply for the reimbursement on or before Tuesday, March 17, 2015.

  • All Panelists (lead or co) must have successfully pre-registered and paid for a con badge and be able to provide a registration confirmation number. All panelists must use the Panel Reimbursement Application.
  • *Reimbursements will be given when one of the following criteria has been met:
  • Any Lead Panelist who does a minimum of 3 hours of panels as a Lead Panelist will be entitled to a 100% reimbursement of the purchase price of their pre-registered con badge. Pre-registered con badge is defined as a badge paid for before the beginning of the convention. Percent of reimbursement will be based on the price of a regular convention badge at the time of pre-registration. (Artist Alley badges, and other badges awarded or purchased as part of a package are not eligible for reimbursement. Reimbursement percentages for VIP badges will be based on the price of an adult pre-registration on the last day that pre-registration is open, which is $65. Other exceptions may apply, if you have any questions please contact the Head of Live Programming or the Convention Treasurer.)
  • Any Lead Panelist who does less than 3 hours of panels as a Lead Panelist will be entitled to a 50% reimbursement of the purchase price of their pre-registered con badge (even if additional hours of panels is done as a Co-Panelist). (Artist Alley badges, and other badges awarded or purchased as part of a package are not eligible for reimbursement. Reimbursement percentages for VIP badges will be based on the price of an adult pre-registration on the last day that pre-registration is open, which is $65.   • Any Co-Panelist who does any number of hours of panels as a Co-Panelist only will be entitled to a 30% reimbursement of the purchase price of their pre-registered con badge. (Artist Alley badges, and other badges awarded or purchased as part of a package are not eligible for reimbursement.
  • Reimbursement percentages for VIP badges will be based on the price of an adult pre-registration on the last day that pre-registration is open, which is $65. Other exceptions may apply, if you have any questions please contact the Head of Live Programming or the Convention Treasurer.)
  • Any Lead or Co Panelists who do a non 18+ Live Programming Event during Late Hours will receive a 1.5 hour credit for every 1 hour of paneling completed during the Late Hours
  • Any Lead or Co Panelists who do a Live Programming Event that is designed for and scheduled in the ChibiKatsu Panel room will receive a 1.5 hour credit for every 1 hour of paneling completed in the ChibiKatsu Panel room.
