Submitting a Fan Panel Event 

How do I submit a Panel? Answer: Submit your Fan Panel request using the Katsucon 2018 Panel Event Application Form. NOTE this form will close on August 20th, 2017 at 11:59 PM EDT (Eastern Daylight Time). 

What if I submitted panels, but I already purchased a regular attendee badge for the convention? 
Answer: If your panel(s) get Accepted, you will need to request a refund for the regular Attendee Badge and you will qualify for a free Panelist Badge. Refer to the Registration page for the Pre-Registration Refund Policy for refunding a regular attendee badge. I’m an Artist/Merchant, do I still need a panelist badge? 
Answer: YES! You will still need to get a Panelist Badge. 

How big can my group be? 
Answer: There is a maximum of four (4) panelists that qualify to receive a Panelist Badge including the Lead Panelist. If your group is larger than four (4) then you need to contact Live Programming before submitting a panel event application. If you have any questions or concerns, please CONTACT US. I won’t be 18 by the time of the convention, but I want to submit an 18+ panel. Can I do that? 
Answer: No, you cannot submit or host an 18+ panel. You must be 18 by the time of the convention if you want to present an 18+ panel, as all attendees and panelists must have an 18+ wristband in order to enter the panel room or to attend 18+ programming. 

I won’t be 18 by the time of the convention, can I still submit an application to run a panel? 
Answer: Yes, panelists can be under the age of 18 and can submit an “all ages” or 13+ panel. However, if you will be under 18 at the time of the convention, pay close attention to the rules regarding other identification documents and PARENTAL PERMISSION forms required. This information is specified on the main Registration page at this URL: http://www.katsucon.org/registration/

My panel’s 18+, what does that entail? 

  • Answer: If you are submitting an 18+ panel the following apply: 
    · Generally, any panel that includes graphic violence, nudity, or coarse language is considered an 18+ panel . 
  • · Your panel won’t be scheduled earlier than 9:00pm. 
  • · You and all panelists in your group need to be 18 by the time of the convention. 
  • · You and all panelists in your group must have an 18+ wristband to enter. 
  • · Only 18+ attendees will be allowed into your panel. 
  • · Live Programming will be checking for attendees’ badges and wristbands as they come into your panel. 
  • · If you’re unsure whether your panel would be considered 18+ or not, usual practice is to err on the side of caution and assume it’s 18+. Otherwise, please CONTACT US. 

I want to host a Workshop type panel; will Katsucon provide me with the materials to run it? 
Answer: No, Katsucon will not provide you with materials to run the panel. A panelist is responsible for all costs of materials to run their panels. Note that there are some limitations such as food and beverages (tea for example) that are restricted by the hotel for health and safety reasons. Please mention all materials you plan to use on your application form. 

I want to host a Workshop type panel; can I ask attendees to pay a small fee to cover the cost of the materials to run it? 
Answer: No, you cannot charge fees to attendees to run a workshop panel. A panelist is responsible for all costs of materials to run their panels. If you want attendees to bring their own materials to the workshop panel, include this in the panel description on the panel event application. Note that there are some limitations such as food and beverages (tea for example) that are restricted by the hotel for health and safety reasons. Please mention all materials you plan to use on your application form. 

I have no idea what kind of connections my device has. Can you help? 
Answer: The best way to be sure we can support your device is to take a clear picture of your devices’ connections and email it to [email protected] 

Will I be sent confirmation of my fan panel application once completed? 
Answer: We will be sending out confirmations of panel submissions to the Lead Panelist. The Lead Panelist will receive a confirmation notice within seven (7) days that the application has been received. 

What if I never received an email confirmation? 
Answer: If you are the Lead Panelist and you have not received an email confirmation within seven (7) days of submitting an application please CONTACT US. 

What if I change my primary email account? 
Answer: Email us to let us know that you have changed your email address ASAP, otherwise we will continue contacting you using the original email address provided in your panel event application. 

What if I submitted panels but my panel gets Denied? 
Answer: If your panel(s) is Denied and you plan to attend Katsucon 2018 you will have to purchase an Attendee Badge. Live Programming will send notifications for Denied panels before October 2017. 

What if I submitted panels but my panel gets Waitlisted? 
Answer: If your panel(s) get Waitlisted the panel(s) may be moved onto the schedule if other panels get cancelled. This can happen anytime up until December 31st, 2017. 

My Panel was Accepted! Now What? 

What if I bought a regular attendee badge but got a panel accepted? 
Answer: You may want to wait before you purchase a badge for the convention until you have confirmed that your panel was accepted. If you are planning to run a panel or event at Katsucon 2018 and your panels are accepted, then you will qualify to receive a Panelist Badge for free. 

However, if you just couldn’t wait and now you have an Attendee Badge but your panel was accepted, you will need to request a refund for the regular Attendee Badge. Refer to the Registration page for the Pre-Registration Refund Policy for refunding a regular attendee badge. 

Can I serve food at my panel? 
Answer: No, food is NOT allowed to be served to attendees. Panels may include a food demonstration but would be limited to live preparation of food. The Attendees cannot sample food, food is ONLY for demonstration purposes to comply with hotel rules and regulations. NO chemicals of any kind will be permitted. 

What if I need to make changes to my panel description, length of time, or make any other changes? 
Answer: Any changes must be approved by Live Programming. Email Live Programming ASAP to request any changes or updates after the application has been submitted. 

What if I want to cancel my panel? 
Answer: Cancellations must be made prior to January 15th, 2018. Email us to let us know that you want to cancel your panel ASAP. 

What Happens at the Convention? 

What technical support will I have access to? 
Answer: You will have 15 minutes to set-up for your event. During set-up technical assistance is available if there is a problem or issue. Just let the room coordinator know. The technical team staff will come to assist if there are any technical issues. However the technical team will not stay in the room for your entire event. 

Is their internet provided in all the panel rooms? 
Answer: No, unfortunately there is no internet provided in the rooms. 

Where will Panel Registration be located? 
Answer: Panel Registration will be located in Azalea 2 for Katsucon 2018; however, that location is subject to change prior to the convention. We will send emails to the accepted panelists prior to the convention with information and updates.
