Katsucon 2017 Panelist Guidelines



In order to attend any events or activities at Katsucon 2017 as a panelist a person must be registered as a panelist attendee for the convention. As a panelist the following information applies to you, including special registration information and badge’s for panelists.

What You Need to Know

  • Panel Submission Deadlines:
    • Submissions open on June 17th
    • Submissions close on August 31st September 9th (extended the deadline due to posting the Panelist Reimbursement Policy late)

Fan Event Application Form

The application form must be filled out in its entirety with legal names (first and last name) and e-mail addresses of all panelists. Failure to provide this information may delay the possible scheduling of any event up to and including denial of the submitted event. All applicants will receive a confirmation notice within 7 days after the application has been received.

All parties interested in running events must fill out the Live Programming Fan Event Application Form. If you are a Panelist for Katsucon note that the privileges for all VIP, Press, Artist and Merchants badges are separate and these badges MUST be purchased in addition to purchasing a Panelist badge. This means that for some individuals you may have to buy multiple types of badges in order to receive the access and benefits available for each different badge type. Please consider individual availability to host panels very carefully BEFORE purchasing a VIP, Press, Artist or Merchants badge. If an applicant purchases any of the aforementioned badges, they are not going to be reimbursed for the purchase of a second badge, nor will a Panelist badge be discounted or reimbursed, outside of those who qualify for the Panelist reimbursement program. If a potential Panelist has or plans to purchase a badge in addition to a Panelist badge, the applicant must notify the Katsucon Live Programming team on the event application form.

All applications must be submitted by September 9th, 2016 by 11:59pm EDT. Late applications will not be considered under any circumstance. The Katsucon 2017 Fan Event Application Form can be found here.

A single fan event application is for one panel, if you are applying for more than one panel please fill out a separate application form for each panel you want to submit.   All panels are allowed a maximum of eight (8) total panelists. Any panelists in excess of these eight (8) will need to purchase a panelists badge and are not eligible to receive reimbursement.

General Information

  • Difference between Lead & Co-panelist/Co-Lead/Additional Panelists
    • Lead panelist is the main person(s) presenting the panel
      The Lead Panelist is the primary point of contact for the submitted panel application. Live Programming will contact the Lead Panelist directly, it will be their responsibility to share information with your group. The Lead Panelist should always be in contact with all Co-Lead and Co-Panelists.
    • Co-Lead panelist is a second lead panelist
    • Co-panelist/Additional Panelists are any secondary people assisting with presenting the panel
    • Maximum of 8 total running the panel
  • Panel Review Process
    • Once panel submissions close, it general takes 6 to 8 weeks to review all panel submissions. Once the initial review is complete it typically takes another 2 to 4 weeks to finalize information and send out communications.
    • If your panel is accepted the confirmation email will include the tentative time, date, and room location for your panel. Please note that the time/date/location are tentative and may be subject to change up until the convention.
    • Every effort will be made to schedule panels as close to the request time as possible.
  • Panel Statuses: Approved, Denied, Waitlisted
    • Approved means your panel will be included on the schedule and you qualify to purchase a panelist badge.
    • Denied means your panel was not accepted.
    • Waitlisted means we are interested in the panel but do not have enough room in the schedule to fit it in. Waitlisted panels can be moved onto the schedule if other panels get cancelled. This can happen anytime up until the convention schedule is sent to print.
  • Panelist Badge
    • Panelists are required to get a panelist badge in order to run a panel for the convention. If you plan on doing a panel for Katsucon DO NOT BUY an attendee badge. The panelist badge will be sold at a cheaper rate than the regular attendee badge. We ask that all those that have submitted a panel hold off on registering until they received confirmation regarding their panel submission.
    • If your panel(s) get Denied, you will receive a code for a discounted registration fee in consideration for the time you were waiting to hear about panels. If your panels get denied and you receive a discount code the code can be used in Eventbrite to receive a discount on a regular attendee badge.
